The challenge

BDCC Club has been our client since 2015, when the club had around 200 members. It now has over 15,000 — roughly seventy-five times the membership base, built over more than a decade of continuous work rather than a single campaign. Growth on that scale breaks systems that were adequate at the start, and the club outgrew its own administration long before it outgrew its ambition. When we began, it was running on disconnected tools and goodwill. Renewals were chased manually, so they were chased late or not at all. Event and facility bookings arrived by phone and email, which meant availability lived in someone’s head and double-bookings were a matter of time. Member records sat in spreadsheets that had quietly forked into several versions. Physical membership cards were the daily friction point — lost, forgotten, expensive to reissue, and impossible to update when a membership tier or an entitlement changed. Entry was a manual check against a printed list, which is slow at the door and gives the club no idea who is actually in the building. Nobody could answer the question that matters most to a club: who is engaged, and who is quietly drifting away — until a member simply failed to renew.

Our approach

We built a single digital membership platform and then connected it to the physical club, which is where most membership systems stop. Joining and renewal moved online with automated reminders. Members received a digital wallet card that lives on their phone, updates itself the moment a tier or entitlement changes, and cannot be left at home in another wallet — removing reissue cost and an entire category of front-desk dispute. Check-in runs on Zebra handheld devices at the door, so entry is a scan rather than a search down a printed list, and every scan writes to the member record in real time. That gives the club live visibility of who is on site — useful for capacity and safety obligations, and genuinely useful commercially, because attendance is the most honest engagement signal a club has. Around it sits event and facility booking with real capacity rules, segmented communications, a loyalty layer rewarding participation, and one staff dashboard replacing four systems and a spreadsheet. The platform was built to absorb the growth rather than be replaced by it — the club has scaled roughly seventy-five times over without a rebuild.

Attendance data from door scans feeds engagement scoring, so members whose participation is declining surface while there is still time to act — a retention problem is far cheaper to solve before a renewal lapses than after. Communications segment on actual behaviour rather than broadcasting to the full list. Live and historical attendance patterns inform how events and facilities are scheduled, so capacity follows real demand rather than habit.

An assistant grounded in the club’s own rules, calendar and pricing so members get accurate answers to booking and eligibility questions at nine at night without staff involvement — with a defined refusal boundary on anything financial or anything touching another member’s record. Beyond that, attendance-informed event programming, where the schedule is proposed from real turnout data and a person decides.
